FanReach is ReverbNation Legacy’s fully-featured mailing list application. It is a powerful solution for artists and venues seeking a way to regularly communicate with fans and efficiently manage their email lists.
Use the sections below to learn how to set up, manage, and troubleshoot your FanReach campaigns.
1. What is FanReach?
FanReach is fully customizable and offers several core benefits:
Detailed Insights: Access powerful statistics, tracking, and reporting features to see how your campaigns perform.
Automated Content: Automatically include dynamic content, such as your upcoming show schedules, directly into your emails.
2. Setup: Changing and Choosing Your "From" Address
To change the "from" email address associated with your FanReach campaigns, navigate to Tools > FanReach > Settings in your legacy dashboard. Update the email address in the provided "From" field and click Save.
Understanding DMARC Policies
Major email providers like Yahoo, AOL, Gmail, and Hotmail have updated their DMARC policies to stop fraudulent emails. Because of these anti-spoofing changes, email receivers will often bounce messages sent from free email addresses (like @yahoo.com or @aol.com) when sent through a third-party mailing list.
Why You Need a Custom Domain
We highly recommend using a custom domain for your “From Address”. If you need help registering a new domain or custom email address, we recommend looking into ReverbNation’s Site Builder.
Our Automatic Fallback Solution
If you cannot register your own domain, we will provide a safe "From" email address to ensure your email is successfully delivered. We will add mailsender@reverbnationapp.com to your "From" address to comply with these policies. Don't worry—all fan replies will still be sent directly to your FanReach email address on record.
3. Rules for Importing Contacts
Consent and Compliance
We have strict policies requiring FanReach users to have explicit permission to import third-party email addresses. To comply with the CAN-SPAM Act and various privacy laws, you must obtain consent to distribute email marketing from each contact you import. The FanReach Terms and Conditions strictly prohibit the use of third-party email addresses unless the owners of those addresses have explicitly consented.
Automated Confirmation Emails
When you import a list, FanReach will automatically send a subscription confirmation email to, at a minimum, a subset of the email addresses you upload. Separately, each person will automatically receive a subscription confirmation email if they provide their address through:
A Mailing List Widget
A Site Builder Mailing List sign-up
The "Become a Fan" mailing list opt-in
Failure to obtain proper consent from the owner of each imported email address will result in the termination of your FanReach privileges or full account termination.
4. How to Add Pre-Existing Subscribers
You can easily add pre-existing email subscribers directly from your legacy dashboard:
Navigate to Tools > FanReach.
Click the "Add More Subscribers" button located beneath your total count of Email Subscribers.
When the page loads, select one of the following methods:
Upload CSV: Check the permissions box and browse your computer for the CSV file containing your existing mailing list subscribers. Then, click Add Subscribers to process the import.
Manual Entry: Check the permissions box and manually type the subscriber email addresses into the space provided. Then, click Add Subscribers.
Handling Duplicate Contacts
If you are trying to import duplicate contacts, FanReach will filter them out automatically to only send one confirmation email to a contact.
FanCollector Addresses
Any email addresses you collect from your FanCollector will be added directly to your FanReach subscribers automatically.
5. Understanding "Quarantined" Subscribers
Upon import, all new subscribers are placed in a "Quarantined" status. During this time, they are sent a confirmation email giving them the opportunity to opt-out of your mailing list if they wish.
The 72-Hour Window
These confirmation emails are sent out in small "packets" over a 72-hour period, depending on the size of your import. You are NOT allowed to email "Quarantined" subscribers.
Depending on the subscriber's action during this window:
They Opt-In: They will be immediately moved to your active subscribers list, and you can begin emailing them.
They Opt-Out: They will be instantly unsubscribed from your list.
No Action Taken: If 72 hours pass and the user has taken no action, they will automatically be moved into your active database, and you will be allowed to send mail to them.
6. Managing Your List: Removing & Exporting Subscribers
Removing a Subscriber
Navigate to Tools > FanReach > Subscribers.
Locate the search bar in the top right corner and search for the specific email address you would like to remove.
Make sure to unselect everyone in the search results except for the one contact you wish to remove.
Click on the Bulk Actions drop-down menu and choose "Remove Selected".
What if I "lose" all my contacts?
If your list appears empty after searching, make sure to reset your filter to see all of your contacts again. You can easily reset your filter by simply refreshing the page.
Exporting Your Subscriber List
Navigate to Tools > FanReach.
Scroll down to the Manage Subscribers section of the page.
Click the CSV button.
This will export your subscriber list into a single .csv file. We will send you an email as soon as your file is ready to download!
7. Best Practices: How Often Can I Send Emails?
You are welcome to send emails as often as you'd like through our FanReach tool. However, be aware that if a high number of subscribers mark your emails as spam, your FanReach account may be suspended.
To prevent this, make sure that if you are sending multiple emails per day, your messages are filled with notable, engaging content about your music.
Recommended Frequency: Our most successful users send FanReach emails on a weekly, biweekly, or monthly basis.
8. Troubleshooting: Why is My FanReach Disabled?
If your FanReach access has been disabled, it is most likely due to a high volume of abuse ratings.
We have automated systems in place to ensure the emails you send are not flagged as spam by recipients. If too many messages generate high volumes of complaints, unsubscribes, or bounces, we must proactively pause your sending abilities. This protects your sender reputation and prevents major email providers from blocking your email usage entirely.
How to Reinstate Your Access: If your FanReach access is currently suspended, please create a support ticket. Our team will need to collect a little more information from you before we can safely reinstate your usage of the service.
